Administrative Procedure

Nomination

Once selected by your home university, you need to be nominated by your Erasmus+ coordinator to the faculty coordinator of Charles University (email address is in the Inter-institutional agreement). The nomination must include your name, email address, study field and degree for which you are currently studying at your home university (or its equivalent in the Bologna system - Bc, MA, Ph.D.).



Sending your Application Form

  • To complete your Learning Agreement, you will be asked to set up a list of courses you would like to attend during your study stay at the Charles University. You will find our course/modules offerings in English, German, French and other foreign laguages in the course catalogues of our 17 faculties. You will need to take min. 51% of your subjects from the offer of the faculty we will indicate to you as your host one. Your courses must be relevant to your studies.

  • As soon as your home university approves your Learning Agreement, it must be delivered to the Charles University and confirmed at faculty level. The document shall be e-mailed as scan to the relevant faculty coordinator.

  • You will also be asked to provide information required for your Grant Agreement in a questionnaire sent to you by e-mail.

    • In this section, you will enter your personal details and indicate whether you would like Charles University to arrange accommodation for you in a university dormitory.

      • As an international credit mobility student, you are exempt from advance payment and can pay after your arrival, once you receive your grant.

    • You will also be asked whether you plan to travel to Charles University using sustainable means of transport. If you meet the applicable conditions, you may be eligible for a higher grant. Find more information here.



Admission Letter and Visa Documents

Finally, the coordinator of the International Credit mobility will be responsible for completing the whole administrative procedure. You will receive by e-mail:

  • Letter of Admission

  • Learning Agreement signed by the Charles University

  • Accommodation Voucher

    • You may have also received an automatic email from koleje.bounce@kam.cuni.cz. Please do not worry about it—it is only a system notification. You do not need to make any accommodation payment before your arrival. As an international credit mobility student, you are exempt from advance payment and can pay after your arrival, once you receive your grant. If you have already made a payment, that is completely fine. The amount will be deducted, and you will simply pay less after your arrival.

    • If you plan to arrive earlier or later than the date stated on your Accommodation Voucher, or outside the opening hours of the dormitory accommodation office, you have to contact the dormitory in advance.

  • Visa application documents

    • Students who have to apply for visa or resident permit will receive several extra documents via DHL. More information about these documents can be found here.



Scholarship

  • If you are a student from a partner university with which Charles University has an approved cooperation project under the Erasmus+ International Credit Mobility (ICM) programme and you have been nominated by your home university to study at Charles University, you will receive an Erasmus+ grant after your arrival to support your stay here. The grant is paid in euros and calculated according to the rates listed here.

    • Students staying for 2 months or less will receive 100% of the grant shortly after arrival.

    • Students staying at Charles University for more than 2 months will receive 70% of the grant at the beginning of their mobility and the remaining 30% approximately one month before the end of their mobility.

  • Please note that the International Credit Mobility scholarship (including travel costs reimbursement) will be paid out only after your arrival to the Czech Republic – you will need to pay your transportation to the Czech Republic and likely the first few days of the living costs before getting the scholarship from us.

  • You will receive the grant after the signature of the Grant Agreement – you will received detailed information in the email.
